Administrator & Coordinator (50-75%)

Poolia is recruiting a self-motivating and service-minded Administrator & Coordinator to Securitas European IT Department in Malmö. The position is part-time (50-75%).

Job description

You are offered a coordinating and developing position in a multinational environment.

You will cooperate closely with program managers, suppliers and other internal and external stakeholders.

The Administrator & Coordinator will work with:

  • Accounting of invoices and other financial tasks related to follow up and reporting
  • Administration of the process in which applications are priced and central costs are charged to the countries using the divisional production tools
  • Administration of supplier agreements and the divisions agreements with our customers
  • Assisting the program managers in meeting arrangements and other administrative tasks

The Administrator & Coordinator reports to the European CIO.


We believe that you at least have 3-5 years of experience of similar tasks, preferably in a multinational corporation.

You are comfortable in speaking and writing English on a high level and you are used to communicate in English.

It is important that you are service-minded, goal oriented, structured and detail oriented with an international mindset. You are also a team player, but self-confident and self-reliable.

In order to be successful in the position we believe you want to learn our business processes and the software/applications supporting them.

You are an experienced user of MS Office. It is an advantage if you also have experience from SharePoint.

Securitas European IT and Production Tools Department

Securitas Europe is a division within the Securitas Group. Securitas Europe had sales of 37,6 BN SEK in 2015 (Group sales 80,9 BN SEK), activities in 26 (Group 53) countries and 118 000 employees (Group 328 000). We are a matrix organization with strong local commitment and responsibility together with central staff functions. IT and IS, Information Systems or Production Tools employ ~300 people in Europe of which ~25 work in the central department at Divisional level. 

We are responsible for the development, maintenance and implementation of Key Information Systems or Production Tools used throughout the business in the European organization and sometimes also in other Securitas Divisions. 

International program managers are responsible for Guard Reporting and PDA/Smartphone applications for reporting, Systems for managing assignments at larger stationary objects, Alarm Monitoring Systems, Guard Management and Customer Contact Centre Systems, Customer Portals and Administrative systems such as CRM and ERP.

We deliver these applications to the business units from a private cloud delivery platform environment. We use a combination of internal and external resources to fulfill the deliveries to the business organizations.

The divisional IT/IS headquarters is located in Malmö.
